Buying at a Wilcox Auction
Buying items at a Wilcox auction is simple. The steps are:
Viewing the item you’d like to bid on
Online Catalogue
The online catalogue is available on our website generally one week prior to the auction. Items do get added on a daily basis right up to the auction day so check the website regularly for catalogue updates. You may also sign up to be on our email list, and be notified when the catalogue is placed online.
Some lots in a catalogue are subject to a “reserve”, unless otherwise indicated. The reserve is the minimum price that the seller is willing to accept for a lot. This amount is confidential and does not exceed the low estimate.
At the auctioneer’s discretion, a final bid that is below the set reserve may be “referred” to the vendor after the auction. The vendor is under no obligation to accept the low bid, and the highest bidder will be notified of acceptance on the day or post auction.
Viewing Days
Pre-auction viewing days are your chance to inspect each lot prior to the auction. We encourage you to look closely and examine each item of interest on which you may want to bid to fully ascertain its condition etc. Except as expressly set forth in the Business Terms and Conditions, items are sold “as is” and with all faults; illustrations in our online catalogues and publication materials are provided for identification only.
Choosing a Bidding Method
At a Wilcox auction, there are three bidding methods.
- In person
- By an absentee bid
- By a phone bid
Register to Bid
Before you can submit a bid on an item, whether it is in person, by absentee or by phone, you must register as a bidder. If you plan to attend the auction and bid in person you can register with the Auction Administrator on the day of the auction in the Auction Office. If this is your first Wilcox Auction, you will be asked to fill out a registration form requiring details such as name, address and contact details as well as providing a driver’s license or photo ID, and collect a bidder number card before the auction begins.
If you already have a Bidding Account through previous registration, you will not need to re-register on the day but you will need to be assigned a bidder number, or you may just need to update your contact details.
If you plan to bid over the phone during the course of the auction, you can submit a phone bidding registration form (see Phone Bidding section below)
If you plan to submit an absentee bid, you can submit an absentee bidding registration form (see Absentee Bidding section below)
Bidding
In Person
To place a bid, hold up your bidder number card so that the auctioneer can clearly see it and acknowledges your bid. The bidding increments will be at the discretion of the auctioneer and depend on a number of factors; the low bid, bidding activity etc. Decide on the maximum amount that you wish to pay, exclusive of buyer’s premium, and continue bidding until your bid is the last highest or you reach your limit. If you are the successful bidder on a lot, the auctioneer will say “sold” and acknowledge your bidder number card and winning bid amount.
Absentee Bidding
If you are unable to attend the auction in person, we will be happy to execute written bids on your behalf. This service is free and confidential. The auctioneer may say during bidding on a lot that “the bid is with me”. This means that an absentee bid being executed by the auctioneer is still higher than any offer from the floor.
The Absentee Bidding Form can be downloaded here. On this form you will be asked to indicate the item upon which you wish to bid and the maximum bid amount. If you do not have a bidding account with us already, your absentee bidding form will contain the information required for registration, and we will contact you by email to confirm that we have received it. If you do NOT receive a confirmation email, contact us by phone.
Completed absentee bidding forms should be returned to Wilcox Auctioneers by fax, email, post or in person, and these will be accepted right up to and during the auction. If this is not possible just call us and we’ll get registration arranged so you don’t miss out.
When we execute an absentee bid on your behalf, the lot will always be bought for the lowest increment that exceeds all competing bids and which meets or exceeds the reserve price. In the event of identical bids, the earliest received will take precedence.
Successful absentee bidders will be notified after the auction.

Phone Bidding
Telephone bidding is also available if you are unable to attend but wish to actively participate in the auction. A staff member will call you during the auction several minutes before the item you are interested in comes up for sale. When bidding opens on the specified lot your bids will be relayed to the auctioneer until the highest bid is achieved. If your phone bid is the highest you are the successful bidder.

Absentee and telephone bids are offered as an additional service at the discretion of Wilcox Auctioneers and at the buyer’s risk. Wilcox Auctioneers will not be liable for failure to place such bids.
Payment and Shipping
As a successful bidder, you can pay for your items at the Auction Office and collect your items with your invoice to take with you. If you unable to transport the items yourself we can make shipping arrangements for you to your desired location. Alternatively you can make your own pickup and shipping arrangements. In any case, all purchased items must be collected within 2 days of the auction. If payment is by cheque purchased items will not be released until funds are cleared to our account. If items are paid for but not collected after 2 days, your property will be subject to handling and storage charges.
Payment for items can be made by cash, cheques with approved credit, bank cheque or money order, EFT, Visa, MasterCard, American Express credit (Diners Club card not accepted) or debit cards.
